Simplify your clients’ experience by completing signing ceremonies and collecting e-signatures during a Coconut Connect meeting.

Steps

If using DocuSign™

If your organization is using DocuSign in combination with an SSO provider, follow the Join the call and login to DocuSign steps below. Otherwise, you can proceed to Access the envelope.

Join the call and login to DocuSign

If your organization uses SSO and you would like to access a DocuSign envelope during a Connect call:

1. Join the scheduled Connect call

2. Access DocuSign through your SSO provider

3. Return to the scheduled Connect call

4. From within the Connect call, click the more actions icon (⋮)

5. Click Documents

This triggers a request from your SSO provider to consent to Coconut Software accessing your DocuSign account. Accept this request to be returned to the call where you can search for envelopes from the dropdown in the call.

Access the envelope

1. From within the Connect call, click the more actions icon (⋮)

2. Click Documents

3. If your organization leverages multiple e-signature integrations, connect to DocuSign

4. Login to DocuSign

   • NOTE: If the session is still active from an earlier login, you will not need to complete this step

5. From Add documents from DocuSign, search for and select the envelope requiring signing

   • Hot Tip! To minimize the risk of selecting the incorrect envelope, Coconut recommends adopting an envelope naming convention that clearly indicates which envelope(s) correspond to the participant(s) and engagement while balancing the need to respect clients’ privacy

6. From the envelope, click the more actions icon (⋮) and select the desired next step:

   • Review together and sign

   • Download

   • Remove

Staff can download or remove envelopes from a Connect call, or initiate a signing ceremony in-meeting

Review together and sign

To review envelope contents and completing signing:

1. Click Review together and sign

2. Once participants are ready to begin the signing process, click Start signing

   • NOTE: Click Exit review if the signing process will not be completed during the call

   • The staff view of the review process includes the option to start the signing ceremony

3. If a signing order is included in the process, participants will each have a turn, with the status of each signatory displayed to call participants

4. Once each signatory has completed signing, click Exit signing

The signing process is complete. Participants can now complete additional actions, such as downloading their signed documents.

Download

Instead of reviewing and signing, staff can download envelope contents once they are added to the call. To download:

1. From the envelope, click the more actions icon (⋮) and select Download

Download signed documents

To download documents once they are signed:

1. From within the Connect call, click the more actions icon (⋮)

2. Click Documents

3. Navigate to the signed document and click the download icon

Clients can download signed documents once the signing ceremony is complete

Remove

If required, staff can remove an envelope that has been selected and added to the call. To do this:

1. From the envelope, click the more actions icon (⋮) and select Remove

If using OneSpan™ Sign

Access the transaction

1. From within the Connect call, click Documents

2. If your organization leverages multiple e-signature integrations, select OneSpan Sign

3. From Add documents from OneSpan Sign, search for and select the transaction requiring signing

   • Hot Tip! To minimize the risk of selecting the incorrect transaction, Coconut recommends adopting a transaction naming convention that clearly indicates which transaction(s) correspond to the participant(s) and engagement while balancing the need to respect clients’ privacy

4. From the transaction, click the more actions icon (⋮) and select the desired next step:

   • Review together and sign

   • Download

   • Remove

Review together and sign

To review envelope contents and completing signing:

1. Click Review together and sign

2. Once participants are ready to begin the signing process, click Start signing

   • NOTE: Click Exit review if the signing process will not be completed during the call

3. If a signing order is included in the process, participants will each have a turn, with the status of each signatory displayed to call participants

   • If there is a signing order, signatories can monitor progress while the signing ceremony is taking place

4. Once each signatory has completed signing, click Exit signing

The signing process is complete. Participants can now complete additional actions, such as downloading their signed documents.

Download

Instead of reviewing and signing, staff can download envelope contents once they are added to the call. To download:

1. From the envelope, click the more actions icon (⋮) and select Download

Download signed documents

To download documents once they are signed:

1. From within the Connect call, click the more actions icon (⋮)

2. Click Documents

3. Navigate to the signed document and click the download icon

Remove

If required, staff can remove an envelope that has been selected and added to the call. To do this:

1. From the envelope, click the more actions icon (⋮) and select Remove

A note on access and visibility

Once connected, admins, managers, and staff can access DocuSign envelopes and/or OneSpan Sign transactions from within a Coconut Connect call and complete signing activities during the call.

Any staff participating in a Connect call can initiate a signing session. If needed, this can be adjusted by an admin in the Participant Actions section of the Coconut Connect settings page.
